These guidelines ensure a safe, respectful, and deeply enriching experience for all participants, Gurus, volunteers, and the host institution.

Before You Register

The convention operates under strict guidelines to uphold the integrity of the ashram-like environment. Participants who do not comply with the code of conduct may be asked to leave without refund. Please read all guidelines carefully before registering.

Convention Guidelines

The following norms apply throughout the 3-day convention.

Attend All Mandatory Sessions

DO

4:00 AM Yoga, Shramdaan, and all assigned workshop sessions are mandatory. Regular absence without medical reason may result in removal from the convention.

Maintain Silence During Performances

DO

Concerts and baithaks demand complete silence and focused attention. Applause is welcome at appropriate moments. Whispering, phone use, or movement during performances is disrespectful.

Dress Modestly & Appropriately

DO

Traditional Indian attire is strongly encouraged — kurta, salwar, saree, or dhoti. Western formal wear is acceptable. Revealing or immodest clothing is not permitted at any session.

Participate in Shramdaan Wholeheartedly

DO

The daily 15-minute collective cleaning is a spiritual practice, not a chore. Approach it with humility and a spirit of service. All participants — including faculty — are expected to participate.

No Alcohol, Tobacco, or Non-Vegetarian Food

DO NOT

The campus is strictly alcohol-free and tobacco-free during the convention. No non-vegetarian food is permitted on campus. Violation is grounds for immediate removal.

No Mobile Phones During Sessions

DO NOT

Mobile phones must be on silent and stowed away during all workshops, concerts, yoga sessions, and Shramdaan. Photography is only permitted during designated breaks and with prior permission.

No Leaving Campus Without Permission

DO NOT

Participants may not leave the VNIT Nagpur campus unaccompanied or without notifying the volunteer team. Safety is paramount, and the schedule is intensive enough that there should be no need to leave.

No Disrespect Toward Artists or Gurus

DO NOT

The Gurus and artists command the highest respect. Do not approach them uninvited, interrupt their practice, or request selfies during sessions. Wait for designated interaction times.

Arrival Window

STRICTLY BETWEEN

4:00 PM on 24 July 2026 — 7:00 AM on 25 July 2026

Arrival strictly outside this window cannot be accommodated. Plan your travel accordingly — book trains/flights well in advance. Participants arriving late may miss the opening ceremony.

Departure Window

STRICTLY BETWEEN

2:00 PM — 11:00 PM on 28 July 2026

Rooms must be vacated by 1 PM on 28 July. Storage will be available for luggage until departure time. Do not book return travel before 3 PM to allow time to check out comfortably.

How to Reach VNIT Nagpur

By Train (Recommended)

Nagpur Junction Railway Station is well-connected to all major cities in India. From the station, the VNIT campus is ~6 km by Nagpur Metro, auto-rickshaw or cab.

By Air

Fly directly into Dr. Babasaheb Ambedkar International Airport, Nagpur (NAG), situated just 7 km from the VNIT campus. Metro, taxis and autos are readily available.

By Road

VNIT Nagpur is on South Ambazari Road, Nagpur. From Dr. Babasaheb Ambedkar International Airport: ~20 min. GPS: "VNIT Nagpur, South Ambazari Road, Nagpur, Maharashtra 440010".

Pick-Up Assistance

Volunteer pick-up will be available at Nagpur Junction Railway Station during the arrival window. Details will be shared with registered participants via email.

What to Pack

A practical checklist for a comfortable and prepared week at VNIT Nagpur.

Clothing

Comfortable traditional attire (kurtas, salwars, sarees) for 3 days
Loose, comfortable clothing for 4 AM yoga sessions
Light jacket or shawl (evenings can be cool)
Walking shoes and sandals/chappals (VNIT campus is large)
Yoga mat (optional — some will be provided)

Essentials

Personal toiletries, towels, and bedsheet
Water bottle (stay hydrated — the schedule is intense!)
Any personal medications and a basic first-aid kit
Torch/flashlight for early morning walks
Notebook and pen for workshop notes

Documents

Registration confirmation email (print or digital)
Government-issued photo ID (Aadhaar, Passport, etc.)
College/institution ID card
Emergency contact information (physical copy)

Do NOT Bring

Alcohol or tobacco products
Non-vegetarian food items
Valuables or large amounts of cash (basic facilities available on campus)
Musical instruments (unless pre-approved as a performing artist)
